Zoho Backstage - Event Software, Set Up and Supported
On the Ground
Zoho Backstage handles the whole event - the website, registration, ticketing, check-in and badging, the expo floor, the attendee app and the analytics afterwards.

We do the part that software cannot. We license it to you, configure it around your event, and then our team is physically there on the day - running the registration desk, managing check-in, handling the badge printer when it jams at 8:40am with a queue forming.

We cover Tamil Nadu and the UAE with our own local teams.
Everywhere else, we fly.

Most partners sell you the software and wish you luck

Here is the honest state of the market.
A reseller for the software
You can buy Zoho Backstage from a reseller. They’ll set it up, give you a login, and then be completely unreachable at 7 AM on event day when the check-in kiosk refuses to communicate with the badge printer.

An AV company for streaming
You can hire an AV company for streaming. They’ll do a great job with the video but know nothing about your registration data.

An event agency for on-ground support
You can hire an event agency. They’ll staff your desk with people who learned how to use your software the previous evening.

We do all three,
and one team owns the outcome.
The people who configured your registration flow are the people standing behind the desk when four hundred attendees arrive at once. When something goes wrong - and at a live event something always goes wrong - there is nobody to escalate to, because we are already there That is the whole proposition. Everything below is detail.

One event management platform, from first invite to final report
Everything you need to plan, run and measure exceptional events, without the back and forth.

The event website
A branded, multi-language event site built without a developer. Agenda, speakers, sponsors, venue, ticket types, all editable by your marketing team.

Registration and forms
Custom registration forms capturing what you actually need.
Regular and add-on session registrations, so a delegate can book the main conference plus two workshops in one flow.
Pre-approval where needed.

Ticketing
Multiple ticket types with activation and expiry dates, early-bird tiers, auto-generated discount codes, and group bookings.

Event planning
Agenda and session management across tracks and days, speaker profiles and coordination, sponsorship tiers and deliverables, and access control for exclusive zones.

Check-in and badging
QR code check-in, self-service kiosks to keep the queue moving, controlled access for VIP areas and restricted sessions, and custom on-demand badge printing.

Expo and exhibitor management
An interactive floor plan exhibitors book booths from directly, automated exhibitor communications, branded exhibitor pages, attendee-to-exhibitor matchmaking, and lead capture with classification.

Attendee engagement
Al-powered matchmaking that introduces the right people to each other, one-to-one chat, discussion channels, polls, Q&A and gamification.

Two mobile apps
An organiser app for tracking registrations, checking people in and pushing announcements from your phone while walking the floor. And an attendee app for agenda, networking, session streaming and community, branded to your event.

Marketing
Stage-based automated email campaigns, banner creation, and affiliate marketing to extend your reach beyond your own list.

Analytics
Revenue and ticket sales, check-in rates, session-level attendance, poll results, attendee counts by type and location, and repeat versus first-time attendees. The report that tells you whether to run it again.

Automation and integration
Workflows, scheduled announcements, webhooks, and lead push straight into
Zoho CRM - so the badge someone scanned at your booth becomes a qualified lead record before the exhibitor gets home

Privacy
No ad trackers, no third-party cookies, no data mining, on infrastructure Zoho owns end to end.
For university, government and healthcare events that is often the deciding factor rather than a footnote.
The developer modules we build

We don't hand you a blank CRM. We build the modules a property developer actually runs on:

Registration desk operation
Staffed by people who configured the system, not by temps briefed the night before.

Check-in and badge printing
Including walk-ups and on-site registrations that were never in your list.

Kiosk setup and management
Manage expressions of interest and bookings before sale.

Access control
For VIP areas, paid workshops and restricted sessions.

Exhibitor and sponsor support
Booth lead scanners handed out, exhibitors shown how to use them, problems solved before they escalate to you.

Live troubleshooting
Across the day, so your team runs the event instead of the software.

Post-event handover
Data reconciled, leads pushed to Zoho CRM, reporting delivered.

Sales Commission &
Broker Commission Modules
Automatic commission calculation for your team and your brokers, so payouts are accurate and on time.

Tamil Nadu -
our own team, on site
Headquartered in Chennai, our own people attend events across Tamil Nadu, including Combatore, Madurai, Tiruchirappalli and nearby locations.
We do a site visit before the event, with no travel loading on the quote.

UAE - our own team, on site
Our Dubai office covers UAE events the same way. Dubai, Abu Dhabi, Sharjah and the wider Emirates, with a local team rather than consultants flown in for the occasion.
We handle Arabic and English registration and badging, multi-nationality delegate data, and the practical realities of exhibition venues here.

Everywhere else - we fly
Outside Tamil Nadu and the UAE, we travel. India-wide, across the GCC, and internationally.
Travel and accommodation are quoted separately and transparently on top of the service, and you see both numbers before you commit. For a multi-day conference with a thousand delegates, flying a team who know your configuration is usually cheaper than the cost of registration desk that fails.
A hybrid event platform,
run by people who handle both halves
Hybrid events fail in a predictable way. The in-person event is excellent and the online audience gets a fixed camera, poor audio and no way to participate. They leave at the first break and you count them as attendees anyway.
Running both properly means treating the virtual audience as attendees rather than viewers.

One registration flow
For both audiences, with ticket types that distinguish in-person from virtual.

Sessions streamed into the platform
Where remote delegates watch inside the event, not on a separate link that lands in someone's spam folder.

Q&A and polls that span both
So a question from an online delegate reaches the stage.

Networking across both
Including Al matchmaking that does not care which room someone is in.

Sponsor and exhibitor visibility for the virtual audience
Which is what makes hybrid sponsorship
sellable at all.

Recording and on-demand access
Afterwards, extending the life of content you paid to produce.

Unified analytics
Attendance, engagement and session data across both audiences in one report.
The technical half and the operational half of a hybrid event are the same job.
Splitting them across two vendors is how the seams show.
0% commission ticketing, which is worth more than it sounds
Most event ticketing platforms take a percentage of every ticket sold.
On a conference selling 500 tickets at a meaningful price, that percentage becomes a serious number - often more than the entire cost of the software.

You keep the ticket revenue

Pay only for the platform and your gateway charges

A bigger difference for bigger events
Run the maths on your last event before you assume this is a minor detail.
For a lot of organisers it is the single biggest cost difference between platforms, and it is the reason the conversation starts.
The events this fits

Conferences and summits
Multi-track, multi-day, with workshops and paid add-on sessions.

Exhibitions and expos
Where the floor plan, booth booking and exhibitor lead capture matter as much as attendee registration.

Universities and academic institutions
Convocations, symposia and academic conferences, where privacy and data handling are scrutinised

Associations and member bodies
AGMs, chapter events and annual conferences with membership-linked ticketing.

Corporate events
Customer conferences, partner summits, product launches and internal all-hands.
.webp)
Weddings, social functions and consumer entertainment events.
We are an event technology and operations company, not a venue-and-catering event agency, and we will point you elsewhere rather than take the work.
The licence costs the same.
The event day doesn't.
Zoho sets the price of Zoho Backstage and we cannot mark it up or discount below it. The licence is the same number either way.

The right plan for your event size
Chosen before you pay. Backstage plans differ by event volume and attendee numbers, and the wrong plan discovered three weeks before an event is a genuinely bad afternoon.

One supplier for software and delivery
No contract between your platform vendor and your on-ground team, because they are the same people.

A named consultant, not a support queue Which matters most in the fortnight before an event.

A straight answer on Zoho One
If you will also use CRM, Campaigns, Books and the rest, the bundle is often the better buy. We will run both numbers.
→ Zoho One

.webp)
And it works both ways: from your side, you track every broker's performance - visits booked, leads brought, deals closed - so you know exactly which brokers are driving your sales.
.webp)
It's a genuine competitive edge. A broker who can self-serve inventory, resources, and their own commission status will bring you more deals than one who has to chase your team for every answer.
What implementation actually involves
A clear process, from planning to post-event insights, so your event runs smoothly.

Event discovery
Format, dates, venue, expected numbers, ticket types, sessions and tracks, sponsors and exhibitors, what has gone wrong at previous events. You get a written scope and a fixed price, with any travel costed separately and visibly.

Event website and branding
Site built, branded and populated with agenda, speakers, sponsors and venue detail, in the languages your audience needs.

Registration and ticketing
Ticket types, pricing tiers, discount codes, add-on sessions, registration forms, approval rules and payment gateway connected and tested with real transactions.

Sessions, speakers and sponsors
Agenda built across tracks and days, speaker profiles loaded, sponsorship tiers and deliverables configured.

Expo setup
Floor plan built, booths made bookable, exhibitor onboarding and lead scanners prepared.

Apps and engagement
Attendee app branded and populated, organiser app configured for your desk team, matchmaking, polls and Q&A set up.

Integration
Leads and registrations flowing into Zoho CRM
marketing into Campaigns, plus any third-party system in scope.

Rehearsal
Hardware tested, check-in flow run end to end, streaming tested at the venue on the venue's actual connection.
This step is not optional and we will not skip it to save a day.

Event day
Our team on site.

Post-event
Data reconciled, leads delivered. analytics reported, and a debrief on what to change next time.
Zoho Backstage pricing, and what an event actually costs
If you are here comparing Zoho Backstage pricing against other event platforms, the number on Zoho's site is only one of three you will pay. We keep them separate so you can see what each one buys.

The Zoho Backstage licence
Set by Zoho, priced by event volume and attendee numbers. Same price wherever you buy it. Ticket sales carry 0% commission.

Setup and configuration
A fixed-price project scoped against your event. Bigger events with expo floors and multiple tracks cost more than a single-track one-day conference, for obvious reasons.

On-ground support and streaming
Quoted per event against team size, days on site and what hardware is needed. Travel and accommodation are quoted separately and transparently for events outside Tamil Nadu and the UAE — you will never find them buried in a day rate.

Travel and accommodation
For events outside Tamil Nadu and the UAE, travel and accommodation are quoted separately and transparently.

Zoho Backstage? FAQ
Zoho Backstage is an all-in-one event management platform covering the event website, registration and ticketing, agenda and speaker management, check-in and badging, expo and exhibitor management, attendee mobile apps, engagement tools and post-event analytics. It supports in-person, virtual and hybrid events.
No. Zoho Backstage charges 0% commission on tickets sold through the platform. You pay for the software rather than a share of your ticket revenue, aside from whatever your payment gateway charges.
Yes, and it is the main reason clients come to us rather than to a software-only reseller. Our team runs the registration desk, manages check-in and badge printing, handles kiosks and hardware, supports exhibitors with lead scanners, and troubleshoots live throughout the day.
We have our own local teams in Tamil Nadu and the UAE, so events there are covered without travel loading. For events elsewhere in India, across the GCC or internationally, we travel, with travel and accommodation quoted separately and transparently.
Yes. We configure one registration flow covering both in-person and virtual attendees, stream sessions into the platform so remote delegates participate inside the event, run Q&A and polls across both audiences, enable networking between them, and report attendance and engagement for both in one place.
Yes, as a service alongside the platform, so the stream and the event technology are configured together rather than split across two suppliers. Because the stream runs through the event platform, your virtual attendees are registered, ticketed people whose engagement is measured rather than an anonymous view count.
Yes. It provides an interactive floor plan for exhibitors to book booths from, automated exhibitor communications, branded exhibitor portals, attendee-to-exhibitor matchmaking, and lead capture with classification that can flow into your CRM.
