Will it feel like a step down?

What about privacy?
Zoho does not scan mailboxes to sell advertising and does not run ads in the interface.
For some businesses that is a nice-to-have. For legal, healthcare and financial clients it is often the reason for the whole conversation.

How Zoho Mail is priced
Zoho Mail is priced per user, per month, with a free tier for very small teams and paid plans above it. The paid plans differ mainly on storage per user, protocol access, security features like S/MIME encryption and retention policies, audit and eDiscovery, and whether the Al assistant is included.

We do not publish figures here, because they change by region and currency and a stale number on a partner's website is worse than none.

Two things worth knowing.


The free tier is real but small.
It covers a handful of users on one domain with modest storage. It genuinely works for a startup. It does not work for a business with staff turnover, shared mailboxes and compliance obligations, and outgrowing it mid-year is a nuisance.

The license is the small number.
For most businesses moving from Google or Microsoft, the migration project costs more than a year of Zoho Mail licences and saves considerably more than that over the same period. Price the move, not just the subscription.
The decision that matters more than the email plan
This is worth five minutes of your time before you buy anything, because it is where most of the money is.

Zoho Mail on its own makes sense if all you want is email on your domain and you already have your documents, chat and file storage sorted elsewhere.

Zoho Workplace bundles Mail with the office applications, file storage, chat and meetings. It is the direct comparison to Google Workspace and Microsoft 365, and it is usually the right answer for a business replacing one of those.

Zoho One includes all of that plus
CRM, Books, People and roughly forty more applications for one per-employee price. If you are going to use four or more Zoho apps, it very often costs less than buying them separately, and frequently not much more than what you are currently paying for email and documents alone.
